B. Customers (Educational Institutions)

If you are a customer of Ed-admin, we provide our products and services directly to your school or school district. In this context, Ed-admin acts as a data controller in relation to the personal information processed in connection with customer accounts.

Information We Collect

Directly From You

We collect personal information necessary to provide our educational technology services, as directed by you. The type of information collected depends on the specific product, your requirements, and what is needed to integrate with your systems and to set up and maintain accounts. This may include the following categories of data:

  1. Account information: The specific data elements will vary depending on the product and the information you provide. This may include records relating to students and their parents or guardians enrolled in your school or district, such as directory information, email addresses, student IDs, account credentials, enrolment details, course information, and, where applicable, health information contained in student records.
  2. Employee Account Information: We collect employee account information, including usernames, email addresses, and job titles, in order to set up and manage access to our products and services.
  3. Financial Information: Depending on your requirements, we may also collect and process financial information relating to students and their parents or guardians, where such information is made available to us for the purpose of providing our services.

Indirectly From You

We automatically collect certain device and usage information when you access and use our products and services. This includes information that your browser or mobile application sends during use. This information may include your device identifier, IP address, browser type and configuration, dates and times of access, and cookie data.

Such information is collected to analyse usage patterns, improve the performance and functionality of our products and services, and better meet the needs of our customers and their users.

For absolute clarity, student data and personally identifiable information are not shared with partners for marketing purposes.

Who has access to your information? How is it shared?

A) Service Providers

We engage third-party companies and individuals to perform services on our behalf and to support the operation of our platform and services. Personal information is shared with these service providers only to the extent necessary for them to perform their functions.

B) Business Transfers

If Ed-admin, or any part of its business or assets, is acquired, transferred, or enters into bankruptcy or liquidation, personal information may be transferred to a third party as part of that transaction. Student Personal Information

In relation to student personal information, Ed-admin acts as a data processor, while the relevant school or school district acts as the data controller. Where a customer of Ed-admin agrees to the provision of products and services, personal information may be provided by the customer or collected from students or parents in connection with those services. Such information is processed solely on behalf of the customer and in accordance with their instructions and the applicable agreement.

Student Personal Data Ownership

All student personal data remains the property of, and is controlled by, the relevant Ed-admin customer (school or school district). A non-exclusive, royalty-free license is granted to Ed-admin to use such data solely for the purpose of providing, maintaining, and supporting the products and services. Student personal data is used only as necessary to deliver the contracted services and is processed strictly in accordance with customer instructions and contractual terms. Student personal data is not used for targeted advertising by Ed-admin or its affiliates.

C) Parents and Students

The school or school district decides how your personal information is used. Ed-admin provides learning and registration products and services to end-users of a school or school district (our customers) as a “data processor". The primary responsibility of a “data controller” lies with the school or school district. This also means that the school or school district’s own privacy statement governs the use of student personal information.
Ed-admin customers decide what information we collect through the Ed-admin products and services and how it is used, and we process that information in accordance with our customers’ instructions and the terms of our contracts. This section of our Privacy Statement is provided for informational purposes and describes how parent and student personal information is used when Ed-admin products and services are provided through a school or school district. How that information is used depends on the school or school district, so please consult your institution’s privacy statement.

Information We Collect

Information provided to us by a school or school district is used to improve Ed-admin products and services, which integrate with our customers’ systems. The specific data collected from the school or school district varies depending on the Ed-admin product or service, but generally includes, but is not limited to, names, ages, email addresses, student IDs, account credentials, academic records, student records, certain health information maintained in student files, and details about the courses in which a student is enrolled at the time we set up the products. Additionally, we may collect other records as requested by the school or district. Depending on their requests, we may also gather financial information from students and their parents, as provided to us for the purposes of delivering our services. To ensure accuracy, Ed-admin will receive regularly updated information to maintain current account details.

Directly From a Parent or a Student

Depending on the Ed-admin products and services used by your school (or your child’s school), we will collect the following data categories directly: name, age, email address, student ID, account credentials, academic records, student records, certain health records, and details about the courses a student is enrolled in when we initially set up the products and services for your institution. Additionally, we may collect other records as requested by the school or school district. If requested by the school or school district, we may also gather financial information from students and their parents in order to provide services. Ed-admin will receive regularly updated information to ensure that account details remain accurate and up to date.

Indirectly From a Parent or a Student

We collect information about your device and usage when you access and use Ed-admin products and services. This includes details that your browser or mobile app sends while you are using it. The data we collect may include your unique device identifier, IP address, browser type and settings, the date and time you use the product or service, and cookie data. We collect this information to improve our products and services, ensuring that they better meet the needs of our customers and their users.

How We Use This Information

On behalf of your school or school district

We collect and utilise your information on behalf of your child's school or school district, which serves as the data controller. Our use of this information is in line with our agreement with the school or school district, allowing us to operate, maintain, and provide the features and functionality of the Ed-admin products and services. It is the school or school district that determines how personal information is used.

How We Share This Information

We share student information in accordance with our agreement with your school or school district. This generally involves sharing information both within and outside of Ed-admin under certain terms. Access to student information within Ed-admin is limited to individuals who have a "need to know" in order to provide and improve Ed-admin products and services. For instance, our technical and client support teams may access personal information when implementing Ed-admin products and services for your school or school district, or when software updates or maintenance are necessary. We also use vendors to assist us in delivering the Ed-admin products and services to you (or to your child) on behalf of our school or school district customers.

What Does Ed-admin Use My Information for?

Generally

When you use the Platform, you may set up your personal profile, send messages, perform searches and queries, and transmit information through various channels, depending on the User Category you are registered within the Platform. Our Platform allows users to set up a user account and profile and navigate within it, and the information we gather from users enables us to provide features, personalise it for users, and improve our Platform.

Personal information

We also use the Personal Information you provide to respond to your requests for certain information and the Platform, customising your experience, and communicating with you about the Platform.

Your email address

Use of our Platform requires your email address, and we may send you email communications. Web beacons may also be used in some of our emails to let us know which emails have been opened by recipients, which allows us to gauge the effectiveness of our customer communications.

Usage Information

Ed-admin uses aggregate data to figure out how often users use parts of the Platform so that we can make the Platform appealing and relevant to as many users as possible. As part of our use of information, we may provide aggregate, anonymised information to our partners about how our users use our site.

Advertising

We display ads for our own products and services on our Platform. Ed-admin may share the Personal Information with our advertising partners to promote Ed-admin or other products. Users may opt out of the sharing of Personal Information with third parties by emailing us at ( put email address).

Privacy of Children

We do not knowingly collect any information from children under the age of 16 unless we have received authorisation from an Ed-admin customer (such as a school or school district) for that student to use Ed-admin products and services. This authorisation allows us to collect personal information from students under 16.

Where is Your Personal Data Stored?

We are based in Australia and South Africa. We may disclose personal information to service providers located in Australia, the United States, South Africa, and the European Union for hosting, analytics, AI-assisted processing, and support services.
Where we transfer personal information outside the European Union, we do so in accordance with applicable data protection laws using EU Standard Contractual Clauses or the EU-U.S. Data Privacy Framework, where applicable. Authorised employees or contractors located in these regions may also access your personal information for operational and support purposes.

How Do We Store Your Data?

Your Ed-admin account’s personal information is protected by password security to help keep your data private and secure. Additionally, we implement various technical, administrative, and physical security measures. Our coding practices are designed to prevent attacks on our platform from web browsers and malicious scripts by routing all actions through several permission-verification checks.
To help protect against unauthorised access to your account and personal information, please choose a strong password and limit access to your computer and browser by signing off after you have finished accessing your account.
While Ed-admin aspire to keep your information private, we cannot guarantee complete security. Unauthorised access, hardware or software failures, and other factors may compromise the security of user information.

Ed-admin respects your right to access your Personal Information. You may request all of the Personal Information we have stored about you.

Personal Data Retention

We will retain the personal information we have collected and processed for as long as needed to provide our service to our customers, or as required or permitted under the applicable law. We may further retain and use this personal information as necessary to comply with our legal obligations, maintain accurate accounting, financial, and other operational records, resolve disputes, and enforce our agreements. We have established internal policies for the deletion of data from customer accounts following the termination of a customer’s subscription to the service.
