Privacy Policy
How we handle your information.

Ed-admin Pty Ltd operates from 11 Sundown Walk, Frankston, VIC 3199, Australia. We prioritise user privacy and compliant data-handling practices. This policy explains the purposes, types and scope of the personal data we process. We review it regularly as privacy regulations and technology evolve, and significant changes may trigger a direct notification. Continued use of the platform after an update constitutes acceptance of the revised terms.
Website users
You may browse ed-admin.com without providing personal information. When you book a demo or subscribe to a service, we collect the details you choose to give us, such as your name, email, organisation, country and phone number, and payment details for any product purchase. We do not knowingly collect children's data through the website.
Your device also transmits information automatically, including IP address, browser type, the pages you visit, timestamps and activity patterns. This helps us improve site performance and the user experience.
Legal basis for processing
We collect the minimum information necessary to comply with applicable laws, provide our services and respond to enquiries. Processing relies on our legitimate interests, including service improvement, technical support and system security. Where required, we rely on your consent for the use of certain cookies.
Cookies
A cookie is a small text file stored on your computer or mobile device when you visit a website. Required cookies enable essential functions such as language preferences and performance monitoring, without which the website may not function properly. Analytics cookies track interactions across pages to improve functionality. Advertising cookies deliver targeted ads and measure campaign effectiveness.

Customers (educational institutions)
For customer account information, Ed-admin acts as a data controller. We collect account information (student records, directory data, email, IDs, enrolment and course details, and health records), employee data (usernames, emails, job titles) and financial information where applicable. Device identifiers, IP addresses, browser types, access timestamps and usage analytics are collected automatically to improve service performance.
Student data and personally identifiable information are not shared with partners for marketing purposes.
Student data ownership
Schools and districts retain control as data controllers. Ed-admin operates as a processor, receiving a non-exclusive, royalty-free licence to use student data solely for service delivery. Student personal data is not used for targeted advertising by Ed-admin or its affiliates.
Service providers and sub-processors
Third-party vendors perform functions including email delivery, analytics, payment processing, hosting and support. Personal information is shared with these providers only to the extent necessary for them to perform their functions. During a merger, acquisition or insolvency, information may transfer to a third party who will be required to honour the commitments set out in this policy.
Children's privacy
Ed-admin does not knowingly collect data from children under 16 without authorisation from the customer (school or district). A parent who notices unauthorised collection should contact info@ed-admin.com for prompt deletion.
Where your data is stored
We operate from Australia and South Africa. Personal information may be transferred to service providers in Australia, the United States, South Africa and the European Union for hosting, analytics and support. International transfers outside the European Union comply with applicable law using EU Standard Contractual Clauses or the EU-U.S. Data Privacy Framework, where applicable.
Security
Accounts are protected by passwords and multiple security layers, and our coding practices include permission-verification checks to prevent attacks. You should keep a strong password and limit access to your computer and browser by signing off after use. No system can guarantee complete security: unauthorised access, hardware or software failures and other factors may compromise the security of information.
Access, retention and your rights
You may request all personal information we hold about you. We retain information for as long as needed to provide our service, or as required or permitted under applicable law, after which internal deletion policies apply.
EU residents hold rights to access, correction, erasure, restriction of processing, objection and data portability. No fee applies to an access request, though a reasonable fee may apply to a clearly unfounded or excessive request. Questions may be addressed to info@privacy-officers.eu, and complaints may be filed with the relevant EU data protection authority.

Ed-admin takes data protection seriously across everything we do. Our practices are aligned with leading international privacy regulations, including the UK and EU GDPR and, where applicable, POPIA. Personal information is handled lawfully, transparently and for a clear purpose.
Information security across the Ed-admin platform is managed to the ISO 27001 standard, with role-based access on every record, audit logging on sensitive changes, and cloud hosting with continuous backup.
Where Ed-admin processes personal data on behalf of a school, the school is the data controller and Ed-admin acts as processor under a written agreement that sets out the safeguards, sub-processors and data-subject rights involved. The full list of sub-processors is maintained in the Privacy Policy above.
You have the right to access the personal data we hold about you, to have it corrected or erased, to object to or restrict its processing, and to data portability where it applies. To exercise any of these rights, contact us and we will respond within the timeframe the law requires.
Accessibility

Ed-admin is committed to making this website usable by as many people as possible, regardless of ability or technology. We aim to meet the Web Content Accessibility Guidelines (WCAG) 2.1 at level AA as our working standard.
In practice that means legible colour contrast, text that scales, keyboard navigation, meaningful alternative text on images, clear focus states, and respect for reduced-motion preferences. Accessibility is treated as part of building the site, not an afterthought.
